Project Officer - Governance and Democracy


Job title: GOVERNANCE AND DEMOCRACY PROGRAMME: PROJECT OFFICER

Reports to: Programme Manager Governance and Democracy
Responsible for: Project Assistants, Assigned Field staff

Purpose
The Governance &democracy programme aims to work closely with government sectors, CSO partners, local Non-state actors(NSAs) and the community to advocate for reforms more effectively, monitor government activities and provide other critical services to their constituents. It also aims to strengthen the capacity of NSAs, community-based organizations (CBOs), local peace structures and the Government of Kenya (GoK) to increase awareness of services available to the public and advocacy methodologies.
The duties of the project officer include:

  • The role of the Project Officer is to plan, execute and finalize projects according to the given timelines and within budget.
  • Acquiring resources and coordinating the efforts of team members and third party contractors or consultants in order to deliver the project according to plan.
  • The project officer will also see to it that the project objectives are met and oversee quality control throughout its life cycle.
  • Develop and share regular monthly and quarterly work plans and financial projections with all team members involved in the project through effective communication
  • Ensure that project activities are implemented in accordance with the work plans 
  • Develop and share regular monthly, quarterly and annual reports in a timely manner with the  project team, donors and other stakeholders
  • Carry out continuous monitoring and overall reporting of the project progress to the programme manager
  • Prepare quarterly procurement plans for all items, equipments and services needed in the project and advice accordingly
  • Manage the project budget ensuring strict monitoring on all expenditure and adherence to the budget line
  • Ensure donor regulations are adhered to and that necessary administrative, financial and implementation controls are observed and documented appropriately
  • Develop and share project information with Donors, stakeholders and project team appropriately upon request
  • Build, develop and grow any contacts or relations critical to the life of the project while being a direct representative of the organization in various project forums and networking levels
  • The project officer should support any internal or external monitoring and evaluation exercises of the project
Education qualifications and key competencies:
  • A degree holder in Governance, Social sciences or related fields
  • At least 2 years work experience in a similar position
  • Knowledge and understanding of specific community engagement and context
  • Competent computer skills in MS Word , excel and Power point presentations and proficiency in presentation skills
  • Competency in report writing skills
  • Attentive to detail with strong analytical and observation skills
  • Must be able to work under pressure and meet deadlines
  • Excellent report writing skills
  • Team player

*This position involves a lot of travel and field work.
