Receptionist


The African Guarantee Fund for Small and Medium Enterprises (AGF) was set up to significantly increase the  access of African Small and Medium Sized Enterprises (SMEs) to finance from the financial sector. Our mission also seeks to promote credit enhancement for SME resource mobilization programs by financial institutions as well as capacity development support to client financial institutions.

AGF is seeking to recruit a Receptionist based in Nairobi. The Receptionist is responsible for handling a wide range of enquiries from external customers, assessing customer enquiries and directing them appropriately to the relevant staff in an efficient and courteous manner. They will be required to add value to the quality of services provided by AGF by promoting the AGF value of "Putting Customer First" and adhering to AGF’s Customer Care Standards. In addition, they will provide administrative support to staff in order to ensure that AGF services are provided in an effective and efficient manner.

Duties and responsibilities
• Manage the reception area;
• Provide assistance to customers in the most appropriate manner to meet their needs, demonstrating due
attention to customer care and a professional approach at all times;
• Accurately receive, respond and record customer enquiries and information and direct customers
appropriately;
• Receive and process follow up information about previous customer requests;
• Manage the switchboard for all incoming and outgoing calls;
• Receive and record all incoming documents/mail;
• Manage telephone lines and report faults;
• Maintain and update directories;
• Provide general administrative and secretarial support such as typing, mailing, faxing, photocopying,
information storage and printing;
• Maintain an awareness of all relevant service developments and participate in all aspects of training,
proactively seeking opportunities for learning and self - development so as to improve effectiveness and
efficiency of service delivery.

Requirements
• A minimum of a Diploma in Business Administration/Secretarial Studies/Front Office operations;
• Advanced training in MS-Office software, particularly Word, Excel and Access is essential;
• 3 to 5 years’ experience in an international multi-cultural organisation with progressive experience in
office administration and front office operations;
• Excellent written and spoken English, with a working knowledge of French;
• Ability to edit and proof read documents;
• Experience in preparation of presentations.
