Applications are hereby invited from qualified candidates to fill the above Fixed Term position in the Operations Section of UNICEF Kenya Country Office.

Purpose of the Post: Under the direct supervision of the Chief of Operations, the incumbent will provide administrative and technical support to the Head of the Support Service Centre (SSC) to deliver operational support for programme implementation.

Major Duties and Responsibilities:

Design and maintain Operations Section performance monitoring reports, generate reports from SAP (VISION), analyze financial records like receipts, balances, payments, statements, reports, vouchers and other day-to-day data transactions and monitoring systems to produce management reports as assigned.

Maintain a follow up system of work within the Support Services Centre (SSC) and coordinate the workflow between the consolidated Operations Section, the Kenya Country Office and the Regional Office.

Maintain the SSC Calendar.  Co-ordinate and participate in the organization and preparation of staff meetings or other related meetings and take minutes or notes for circulation.  Ensure the preparation of reports and documents for proper distribution.

Prepare recurring reports as scheduled and special reports as required for budget preparation, audits or other reasons.  Calculate and compile cost estimates and projected budget requirements and assists in preparation of budget statements for area of assignment.

Register and follow up supplier invoices until payment is executed.  Identify and recommend solutions to blockages in the payment process and respond to supplier queries on outstanding invoices.

Receive, screen, log and route correspondence, maintain policy, confidential and general files.  Initiate correspondence to verify data, answer queries and obtain additional information on accounts and financial transactions as required.

Search office files and records relating to a variety of topics for information and reference.  Select information and records in specified format or on the basis of general instructions for use by others in preparing reports, correspondence, technical papers, project or programme plans and general reference documents.

Assist in other areas of SSC and in particular protocol, Finance, Inventory, Travel and Supplies


Required Qualifications: Completion of secondary education.  Graduate preferably in Accounting or Business or other related field is desirable.

Experience:  Six years work experience preferably in the field of Finance, Accounts or Administration.
Knowledge of working processes in the Government of Kenya especially in the areas of Protocol, Customs and general administration is an added advantage.

Language:  Fluency in English and Swahili as a working language.
