Office Assistant
A growing Insurance Brokerage and Actuarial consultancy firm is looking
for an Office Assistant for its office based in Nairobi.
1.
General Purpose.
Helps maintain an
efficient office environment. Provides administrative, secretarial and clerical
support to others in the office.
2.
Main Job Tasks and Responsibilities.
- Keep office area clean and tidy, take and distribute
messages
- Answer phones and transfer to the appropriate staff members.
- Greet public and clients and direct them to the correct
staff member
- Coordinate messenger service (outgoing and incoming
mail for distribution)
- Monitor incoming emails and answer or forward as
required
- Faxing, scanning, copying, maintain office filing and
storage systems
- Recording cash payments and
expenses, credit sales and purchases.
- Daily or weekly banking and
Bank reconciliations
- Accounts payable (including
paying suppliers and responsibility for petty cash)
- Accounts receivable (including
invoicing clients and chasing up overdue amounts)
- All accounts to profit and
loss, cash flows, balance sheet and trial balance
- Preparing some statutory
deductions as the payroll tax, NSSF, NHIF amongst others.
- Liaising with customers,
suppliers, managers, sales and marketing and all other departments in the
organisation
- Can sometimes include monthly
financial reporting under the supervision of an accountant.
- Using Installed software for
entering data and producing many different reports.
- Update and maintain databases such as mailing lists,
contact lists and client information
- Retrieve information when requested
- Co-ordinate and maintain staff administrative records
such as staff parking, staff phones and company credit cards
- Co-ordinate and organize appointments and meetings
- Assist with event planning and implementation
- Monitor and maintain office supplies and ensure office
equipment is properly maintained and serviced
- Any other duties that may be required from time to time
by the company.
3.
Education and Experience
- ATC Final or equivalent. (MANDATORY)
- Certificate of Proficiency (COP) in Insurance will be
an added advantage.
- Competent computer skills including MS Office or
equivalent
- Internet skills including use of e-mails, group
messaging and information gathering
- Numerical and literacy skills
4.
