Organizational background

The World Food Programme Somalia activities include food assistance for nutrition, livelihoods, relief and emergency school feeding, while also supporting humanitarian air and logistics services, food security coordination and infrastructure rehabilitation projects.

This position is open to qualified Somali candidates with good knowledge of the local area. Female candidates in particular, are encouraged to apply.

Major Duties and Responsibilities:

Under the direct supervision of the Senior Administrative Assistant and the overall supervision of the Finance and Administration Officer, the incumbent will be responsible for the following duties:

·      Assist  in extracting and  inputting data from various sources in administrative, human resource, procurement, logistics and WFP systems;
·      Respond to  enquiries from staff in the field office and liaise with other offices as appropriate;
·      Produce basic reports for further analysis by senior support staff;
·      Prepare routine correspondence using standard letters/templates or exchange straightforward, fact-oriented messages;
·      Search for, retrieve, compile, assemble and archive a variety of statistical data;
·      Operate a variety of office equipment such as photocopier, facsimile, printer, scanners, and maintain supplies;
·      Check accuracy of basic calculations, coding, and data;
·      Receive telephone calls and office visitors and refer them to the appropriate source or reply personally to simple queries;
·      Collect, sort, distribute and transmit correspondence, reports and other material via electronic mail, fax, courier service etc;
·      Set up, classify and maintain unit files;
·      Guesthouse and compound management;
·      Perform other related duties as required.

Minimum Qualifications:

Education:
Secondary school education.

Experience:
At least one year of office experience; keyboard skills required.

Language:
Fluency in both oral and written communication in English and Somali.

Knowledge:
Experience utilising computers, including word processing, spreadsheet and other software packages.
