Personal Assistant to Managing Director


THE ORGANISATION 
Our client, a leading manufacturing firm in Western Kenya, is looking for a Personal Assistant to assist
the Managing Director (MD) with all the administrative tasks.

THE LOCATION: The successful candidate will be based in their offices in Western Kenya.

THE POSITION: Personal Assistant to the Managing Director

TERMS OF EMPLOYMENT: Permanent, competitive salary and benefits package including housing.
Start date: February/March 2013
JOB GOALS: To assure the smooth, efficient and effective operation of the Managing Director’s office
for maximum positive impact on the company as it achieves its corporate objectives.

REQUIREMENTS
EDUCATION, QUALIFICATIONS AND EXPERIENCE
A business related degree from a reputable University (mandatory)
Minimum five years experience working for MD/CEO of a busy organisation
Secretarial Diploma
Knowledge in office procedures
Knowledge and practical experience in Microsoft Word, Excel and Access.
27 years+

KEY RESPONSIBILITIES:
Performs all general duties of an administrative office, including, but not limited to the following:
Preparing correspondence, reports, notices, recommendations, bids and Contracts.
Ability to make decisions without close supervision, and must be accurate, efficient and Capable of handling detailed work assignments
Excellent public relations skills including courteousness, tact and excellent verbal communications when dealing with clients, suppliers and Government officers.
Excellent attendance record, and high moral character.
Maintain respect at all times for confidential information.
Ability to maintain self-control and complete tasks with frequent interruptions.
Proven ability to work independently and self-motivated; also work cooperatively with other office personnel, suppliers and Government officials.
Obtaining gathering and organizing data as needed and put it into usable format.
Maintain a regular filing system including confidential files.
Perform bookkeeping tasks associated with the MD Office.
Working knowledge of a variety of office equipment including computers and the capacity to
adapt to various programs that run an efficient office system.
Welcome visitors and schedule appointments.
Supervise Secretary/Receptionist.
Ability to prioritize workload.
Perform other duties as may be assigned.
