Grants Assistant

The Kenya AIDS NGOs Consortium (KANCO) is a national membership network of NGOs, CBOs, and FBOs, Private Sector actors and Research and Learning Institutions involved in or that have interest in HIV & AIDS and TB activities in Kenya. Its membership is open to all registered NGOs, CBOs, FBOs, PLHIV support organizations, Learning Institutions, public and private sector organizations in Kenya. The organization also provides for associate membership that includes individuals and International Non-Governmental Organization partners. Currently, KANCO has a membership of over 1000 organizations and numerous individuals that are networking, collaborating and are bound together by a common vision of a healthy Kenyan people with secure and sustainable access to HIV, TB and other public health care services.
KANCO’s overall goal is to provide leadership among civil society organizations contribution towards realization of universal access targets in Kenya. Its main focus is on three main strategic areas that include (a) Community Systems Strengthening (b) Improving policy for HIV/AIDS and TB (c) Institutional Systems Strengthening.

KANCO is seeking to Urgently employ a suitable person for the Grants Assistant Position

Job title: Grants Assistant
Department: Finance and Administration
Reports: Technical Director Finance and Administration
Location: Nairobi

Job Summary
To provide support in grants management by providing both technical and administrative support

Duties and Responsibility
The job holder’s duties and responsibilities are outlined as follows:
a) Reconciling cash and bank accounts for grants and maintain accurate bookkeeping records
b) Generate grant financial reports
c) Receive, review and give feedback to partners on the monthly and quarterly reports
d) Analyzing cash position and keeping the Head of Finance updated.
e) Monitoring grant-assigned project accounts by analyzing typical expenditures as well as typical situations such as; participant costs, interest bearing accounts, and training
f) Assisting the Head of Finance in reviewing and consolidating all grant related cash requests from affiliate organizations.
g) Coordinating the proper documentation and archiving of all grant documents.
h) Monitoring budget versus expenditure for the grant funded projects.
i) Give technical assistance to the partners on accounting.
j) Capturing and monitoring of cost recovery from grant funded projects
k) Consolidating financial reports on grants and grant analysis reports and providing feedback on the same to the Management.
l) Preparing and distributing relevant monthly grant financial reports to budget holders and preparing annual financial reports to be submitted to donors and for audit
m) Reviewing all grant proposals with the Finance team to ensure financial accuracy and completeness.
n) Liaising with Head of Finance to ensure all relevant grant documentation are completed and received on time.
o) Any other duties as may be assigned by supervisor

Job Specifications
The job holder must possess:
1. Degree in Business field such as accounting or finance,
2. Professional qualifications in CPA 2 / ACCA,
3. 3-5-years’ experience in a similar role working in a computerized accounting office in an NGO set up.
4. Excellent communication and interpersonal skills,
5. Excellent analytical skills
