INTRODUCTION 
Handicap International (HI) is an independent and impartial international aid organization working in situations of poverty and exclusion, conflict and disaster. Working alongside people with disabilities and
other vulnerable groups, our actions and testimony are focused on responding to their essential needs,
improving their living conditions and promoting respect for their dignity and their fundamental rights.

CONTEXT OF ANALYSIS
HI identified the need for a volunteer to work together with the Field Administrator in order to enable the department work more effectively and efficiently as well as to ensure the logistical needs of the project are met. 

GENERAL OBJECTIVE OF THE VOLUNTEERSHIP
To support the Administration Department by ensuring smooth running of logistic activities in HI Kitale field station

SPECIFIC OBJECTIVE OF THE VOLUNTEERSHIP
The Volunteer is to contribute to a variety of logistics activities by assisting in the facilitation and
implementation of the HI project in Kitale as well as ensuring successful execution of the project within the stipulated timeline. 

PLANNED ACTIVITIES OF THE VOLUNTEER 
The Volunteer will work closely with and report directly to the Field Administrator – Kitale. He/she will be  directly contributing to 4 main areas at HI Kitale.
A) - Purchasing cycle
 Updating the procurement files.
 Assist in delivering Purchase Orders& Contracts to suppliers.
 Support the Field Administrator (FA) in requesting for quotation and preparation of summary bid  analysis.
B) - Administrative.
 Assist in archiving of documents in Logistics Office.
 Assist the FA to improve the tracking system for movement of parcels from one destination to another.
 Assist in organizing accommodation for official visitors in Kitale

C) -Vehicle Management
 Assist the FA in vehicle monitoring by following up on weekly check.
 Assist in preparing the monthly vehicle report 
D) - Store management.
 Will be responsible for receiving goods and signing the waybill after verification with program staff.
 Assist in arranging the store and maintaining proper store records.

Expected Results 
 Segregation of duties in the logistics office
 Proper and efficient usage of the fleet of vehicles
 Proper adherence to laid down procedures and deadlines
 Effective filing of logistical documents

DURATION AND LOCATION OF THE VOLUNTEERSHIP
The volunteer ship is for a period of three months renewable for a further three months. He /she will onlybe receiving a daily meal and transport allowance of kshs. 400 per working day (Monday to Friday), paidonce a month in advance. 
The volunteer will be based in Kitale.

REQUIREMENTS FOR THE VOLUNTEER 
 Diploma in Purchasing and Supplies management or a related discipline from a recognized
institution.
 Prior working experience of 2 years in a busy logistics department is desirable 
 At least 2years experience working with an International NGO
 Good interpersonal and organizational skills
 Should be available for a duration of not less than three months
 Candidates should be able to work in a team as well as take responsibility for a range of tasks 
under the supervision of the Field Administrator.

The Volunteer is to comply with the Staff regulations for HI Kenya Somalia Programme
Working hours: 8am to 5pm Monday to Friday with one hour Lunch break.
