Finance & Logistics Assistant

JCCP is a non-governmental organization established in 1999 in Japan, with its headquarters in Tokyo Japan and field offices in Nairobi, Kenya and in Juba, South Sudan. JCCP’s mission is to contribute to global peace and security by building human capacity for conflict prevention and peacebuilding; specializing in capacity building of NGOs and civil society, community security, experts’ training in peacekeeping operations, peace-building for civilians, police and military, education and livelihood support.

JCCP’s Representative
’s Office in Nairobi, Kenya seeks to recruit a Finance & Logistics Assistant who will assist in managing the finance and logistics in the assigned projects. The successful candidate will be located in Nairobi and will be expected to start as soon as possible.

Duties and Responsibilities:
Under the direct supervision of the Senior Finance & Admin Officer,  the main duties and responsibilities of the Finance & Logistics Assistant will be as follows:

1.        Financial Management
Ÿ    Manage cash receipts and petty cash.
Ÿ   Plan and process payment (cheques, petty cash, online banking) for necessary agencies.
Ÿ   Perform day-to-day accounting processes and procedures on JCCP’s accounting system.
Ÿ   Assist Senior Finance & Admin Officer in preparation for all types of vouchers/receipts for projects.
Ÿ   Assist Senior Finance & Admin Officer in control of supporting documents for payments and financial reports for projects.
Ÿ   Prepare monthly reconciliation.
Ÿ    
Ÿ    Ÿ   File finance-related documents in timely manner.

2.        Office Management
Ÿ   Ensure timely, appropriate and cost effective maintenance of the office premises, in coordination with Senior Finance & Admin Officer.

3.        Procurement and Logistics
Ÿ   Evaluate the quality and appropriateness of supplies and services in comparing cost/quality prior to finalizing the purchase in accordance with JCCP procedures.
Ÿ   Purchase supplies and services.
Ÿ   Contribute to improving the effectiveness of the logistics system of the office.
Ÿ   Ensure the effective delivery of the logistical support where needed.

4.        Administration
Ÿ   Record staff presence and absence.

Requirements:
  • A minimum of a business related degree
  • At least two years of experience working in finance and logistics for NGOs or in the private sector
  • Experience in field work and ability to work with community especially in the informal settlement
  • Fluency in English and Swahili
  • Good command of computer applications: Microsoft Office Word, Excel in particular, Microsoft outlook
  • Self motivated and ability to beat deadlines
  • A team player who builds and maintains relationships with supervisors, colleagues and partners
  • Seeks input and feedback from others
  • Ability to handle challenges with persistence, calmness and politeness
