The East African Regional Office is responsible for 7 countries in East Africa, including Kenya, Somalia, Uganda, Rwanda, Sudan, South Sudan and Ethiopia, with a current staff complement of approximately 3500 staff, and current expenditure of approximately $200 million each year.

JOB TITLE:  Awards Assistant

CHILD SAFEGUARDING: Level 3 – the responsibilities of the post may require the post holder to have regular contact with or access to children or young people
ROLE PURPOSE:

The Regional Programme (RP) is a specialized programme achieving results at scale by working primarily with Pan African and East African bodies such the African Union (AU), African Committee of Experts on the Rights and Welfare of the Child (ACERWC), East African Standby Force (EASF), East African Community (EAC) and Intergovernmental Authority on Development (IGAD).

The Regional Program Awards Assistant will work closely with the Regional Program Awards Coordinator and the Senior Program Managers to provide award management support to the Regional Program especially focusing on AMS data management and compliance support.

Reports to:  Regional Program Awards Coordinator.

Dimensions The regional programme aims to strengthen the rights based approach, partner with civil society organisations (CSOs) and advocate and collaborate with regional bodies such as the AU, ACERWC, EAC, EASF and African Commission on Human and People’s Rights (ACHPRs) to ensure that child rights are realised and children are protected from abuse, neglect and exploitation.  Although this is an East African role, the span of programmes includes Eastern, West, Southern and North Africa.

KEY AREAS OF ACCOUNTABILITY:

1.       Updating AMS records for existing RP awards with the relevant documentation in AMS and in hard copy.
2.       Support the RP Awards Coordinator in preparing master budgets for each SOF and updating budget templates for posting in Agresso.

3.       Assist in Loading of new DEAS for all award SOFSs using the SOF loader

4.       Preparing General Journal templates for posting in the Financial Management System (FMS).

5.       Updating of the awards and partner trackers with various reporting timelines of each award.

6.       Assist in preparing monthly BVA’s (Budget Variance Analysis) for review by the Budget holders.

7.       Regular review of Regional Program Pipelines against AMS data ensuring all opportunities are captured in AMS and that any rejections/cancellations are updated.
8.       Support the Regional Program by ensuring that awards are properly closed out in AMS.
9.       Assist the RP team in preparing donor reports using correct donor formats for compliance.
10.    Support the RP Awards Team in preparation for Kick off and Close Out meetings.
11.    Support in reviewing partner files for support documentation and ensuring partner compliance during ongoing monitoring visits and resulting capacity building efforts.
12.    Participate in quarterly partner M&E visits and follow-up on financial issues
13.    Any other relevant duties as may have been assigned by their Supervisor.

QUALIFICATIONS AND EXPERIENCE

·         At least 1 year experience in Awards/ Finance.
·         Degree in Finance with at least CPA I or equivalent professional accounting qualification.
·         Excellent computer skills especially in MS Excel spread sheets and MS Word
·         Some experience with computerised accounting packages will be desirable.
·         Good experience in database use and management.
·         High level of integrity and ability to work as part of a professional team
·         Strong interpersonal communication and training skills.
·         Proven ability to handle challenging workloads effectively.
·         Cross-cultural experience, understanding and sensitivity;
·         Commitment to Save the Children values.
