Vacancy Job Title: Project Coordinator
Program: Urban Crime Prevention Program
Reports to: Project Director
Supervises: Project Officers
Start Date: Immediate
Location: Nakuru and 20% travel to Nairobi.
Overall Responsibility:
ngoThe Project Coordinator will be responsible for directing, organizing and controlling project activities, under the direction of a Project Director.
Specific Responsibilities:
1. Develop and maintains a detailed project schedule which includes administrative tasks and all sites involved in the project.
2. Attend project’s partner meetings and assist with determination of project requirements
3. Process daily, weekly and monthly reporting to ensure all schedules run smoothly, all jobs are completed as planned.
4. Prepare project organization and communication charts
5. Chair site meetings and distribute minutes to all project team members
6. Track the progress and quality of work being performed by design project partners’ i.e tracking all work, task and project assignments.
7. Use project scheduling and control tools to monitor projects plans, work hours, budgets and expenditures 8. Effectively and accurately communicate relevant project information to the project partners and project team
9. Ensure project’s needs are met in a timely and cost effective manner
10. Review field inspection reports from Technical Advisory Group and Consultants throughout the lifecycle of the project.
11. Maintain Contract Execution Tracking Log
12. Assist the Director in the review of Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval
13. Track & manage contemplated change notices and change orders in the database
14. Prepare substantial completion certificates and ensure all required project close out documents are obtained
15. Communicate ideas for improving organization processes with a positive and constructive attitude, and for developing this attitude in others
16. Keep the Director and others informed about project status and issues that may impact project relations
General Responsibilities:
1. Undertake the activities above in line with the associated budgets and with work plans, in ways that are consistent with GET-IT-Kenya policies;
2. Participate in GET-IT-Kenya processes;
3. Prepare and submit quality and timely plans, budgets and reports
4. Keep up to date with urban crime prevention initiatives, urban security initiatives and entrepreneurship opportunities in the county, nationally, East Africa and internationally
5. Undertake any other lawful tasks as may be assigned by the Executive Director;
6. Comply with and foster adherence to the established GET-IT-Kenya policies, regulations, guidelines and procedures;
7. Participate in meetings and sessions as needed;
Education and Experience
1. A Bachelor’s Degree in sociology or criminology or any other related field
2. A background in research and or monitoring and evaluation (M&E) is an added advantage;- Demonstrated experience in conducting field-based research, both Qualitative and Quantitative.
3. At least three years’ of relevant work experience, specifically in NGO;
4. Adequate understanding of the Education and entrepreneurship Sector in Kenya;
5. Particular attention to detail;
6. Demonstrated experience and skills in analysing Qualitative and Quantitative Data,
both manually and using appropriate Analysis Software.
7. Working knowledge of SPSS and or Stata is an added advantage.
8. Computer proficiency including, Microsoft Office and web-based applications;
9. Excellent research report writing skills, using both qualitative and quantitative data.
10. Ability to work under strict deadlines with minimal supervision;
11. Strong communication skills.
