PATH is seeking to hire a Receptionist for the Kenya Office.  S/he is responsible for the front office (Reception) and will provide administrative support to the teams. Since his/her work involves frequent interaction with the public, s/he must have a friendly courteous, professional and efficient approach.

Duties and responsibilities:

  • Manage the switchboard ensuring lines work with minimal downtime.
  • Ensure staff members receive messages in a timely fashion.
  • Receive and attend to PATH guests and respond to information requests as necessary.
  • Responsible for front office security ensuring all guests are logged and announced.
  • Maintain the appearance of the lobby / reception area.
  • Receive documents and other deliveries for the office, ensuring that these are distributed to respective addressee.
  • Responsible for stationery and office supplies management.
  • Handle incoming and outgoing mail including courier services; prepare mail labels for outgoing mail, log in and stamp incoming & outgoing mail appropriately.
  • Ensure staff contact list and the PATH Partner lists are updated regularly and shared with staff.
  • Work closely with and update the Travel Planner to get information on staff whereabouts to enable accurate information sharing.
  • Support with document preparation such as typing, photocopying, scanning as assigned.
Required Skills

  • Knowledge of standard secretarial / receptionist practices and of business English, arithmetic, modern office equipment, practices, and procedures.
  • Considerable skill in operation of a PABX phone systems, computer. Proficiency in all Microsoft Office programs.
  • Ability to understand and follow complex oral and written instructions and establish and maintain good working relationships with officials, other employees and the general public.
  • Ability to perform a variety of important sometimes urgent, confidential, and complex tasks with constantly changing priorities for the Administrative and sometimes management staff
  • Excellent oral communication skills, cohesive interpersonal skills, with ability to work under pressure and deal with people of varied orientations.
  • Ability to establish and maintain office records and files, interpret rules and regulations and to apply them to work situations.
  • Dynamic, Creative & innovative person with considerable tact and poise.
  • Have self-drive and motivation.
  • Neat and well organized person, a time keeper and team player.
Required Experience

A Minimum 2 years related work experience in a busy reception / environment.Diploma in secretarial studies and advanced secretarial experience;or Diploma in Business Administration or Business Management with at least one year experience.

You must currently have legal authorization to work in Kenya.
