The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General.  UNON supports programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UN-Habitat) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services (www.unon.org). This post is located in Travel, Shipping & Visa Unit (TSVU) within Support Services Service of the Division of Administrative Services, UNON.

Under the supervision of the Chief, TSVU the incumbent's duties will perform the following duties:

Shipping Sub-Unit
  • Accurately type out shipping details on duty exemption applications
  • Submit, follow-up, and collect approved duty exemptions from Host Country Relations Unit
  • Collection and processing of shipping documents
  • Maintain both digital and physical files
  • Maintain confidential files of duty exemptions
  • Preparation of monthly and quarterly reports

Visa Sub-Unit
  • Assist in receiving staff, consultants, delegates and their families for advice
  • Prioritizing urgent requests and following up on visa applications
  • Assist in delivery of visas to Consulates/Embassies
  • Assist in processing of UN travel documents for renewal and issuance.
  • Assist in liaising with Travel Unit at the UN Office in Geneva (UNOG) and UNHQ ensure that documents are returned to UNON on time
  • Assist in initiating process for auto mail account for mail via pouch and courier
  • Maintain confidential files for UN Laissez-Passer
  • Assist in the preparation of monthly and quarterly reports

Travel Sub-Units
  • Maintain both physical and digital files
  • Assist in the verification of air ticket invoices
Perform other related office duties as required.

QUALIFICATIONS

Education
Completion of secondary education or equivalent is required. Additional technical training in administrative and travel related matters desirable.

Experience:
At least four years of experience in the area of travel and administration or related area.

Languages:
English and French are the two working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Good working knowledge of French desired. Working knowledge of other UN official languages is desirable.
