Data Entry / Monitoring Assistant
SOLIDARITES INTERNATIONAL is an international humanitarian organization which provides assistance to populations who are victims of armed conflict or natural disasters. For 30 years, SOLIDARITES INTERNATIONAL (SI) has concentrated its action on meeting three vital needs: water, food and shelter. By carrying out emergency programs, SI has acquired experience and expertise in the fields of WASH, food security, livelihoods and agriculture.
In the Horn of Africa, SI is currently implementing WASH and Food Security/Livelihoods programs in Kenya and Somalia. In Somalia, SI is implementing 4 projects in three locations in the South/Central zone, namely: Adaado (Galgaduud), Afmadow (Lower Juba) and Luuq (Gedo region).
In addition to regular monitoring activities by the project teams on the field, and in order to ensure monitoring of project results, the following processes are being implemented:
1. Needs Assessment
2. Pre- KAP Surveys (Baseline)
3. Monthly Post-distribution monitoring surveys (Food Vouchers, water vouchers, ceramic filters)
4. Pre and post harvest surveys
5. Household dietary and diversity surveys
6. Food consumption score questionnaires
7. Coping strategies questionnaires
8. Baselines / endlines on livestock body conditions and livestock management practices
9. Monthly market price surveys
10. Focused Group Discussions
11. 3 Post-KAP surveys (End-line information).
Position Objectives
Under the supervision of the Monitoring and Evaluation Coordinator, data entry/ monitoring assistant will support and assist the M&E coordinator in: (i) processing the data from the surveys and questionnaires received from the field and generating relevant statistical reports to be used for the project evaluation and donor reporting; (ii) archiving the different sources of verification and surveys/ questionnaires for internal control and further audits; (iii) assist in following up on the feedback and complaints mechanism in place and the introduction of a call center for programme beneficiaries managed from Nairobi; (iv) assist in compiling programme documentation into SI’s internal server.
Start date: Approximately 15th August 2013
Duration: 6 months (with possibility of extension)

JOB
List of main responsibilities:
Data entry and data analysis :
1. Assist the M&E, WASH and Food Security Coordinators on the expected deliverables for each survey/ questionnaire analyzed.
2. Compare and define the best data entry and analysis software for use.
3. Check for accuracy in the data entered into suitable statistics software system against the original completed forms from the field.
4. Verify the quality of the data collected from the field to ensure that the forms are correctly filled before analysis and where mistakes found, follow up with the M&E coordinator to correct information.
5. Clean the data as required.
6. Carry out analysis and create tabulations for key project indicators and research questions.
7. Generate relevant and automatic reports from the data entry system into relevant formats (i.e. Dashboards).
8. Assist the M&E, WASH and Food security coordinators to revise and finalize relevant reports: KAP reports, pre/post harvest, PDMs reports etc.
9. Provide a codebook that helps to describe how the raw data was arranged to help give meaning to the data
10. Keep questionnaires, surveys and other sources of verification received from the field archived
11. Assist in refining the monitoring tools: KAP, PDM, questionnaires, pre and post harvest surveys templates etc.
12. Assist in developing a system for analyzing and managing information on beneficiary lists.
Feedback and Complaints (F&C) mechanism:
13. Assist the M&E coordinator in following up on the F&C mechanism in place and analyze information sent by the field teams
14. Assist in introducing a call center to manage feedbacks and complaints from programme beneficiaries
15. Answer calls, register feedbacks and complaints and liaise with field teams to follow up on received calls
16. Assist the M&E coordinator in maintaining the call center database and alert coordination if necessary, depending on the nature of the calls received
17. Select a sample of beneficiaries and do random calls to assess the level of satisfaction from the beneficiaries and collect their feedback on the assistance received – Assist the M&E coordinator, in developing template questionnaires for the selected beneficiaries
18. Assist in improving the feedback and complaints mechanism as well as other accountability systems in place Information management – capitalization
19. Assist the coordination team in filing relevant documents from previous and ongoing projects into SI’s internal server
Qualifications and experience requested:
Education:
College Diploma/University degree, with strong background in statistics, data analysis and report generation.
IT proficiency
Experience:
At least 1.5 years Data Entry experience
Extensive experience in data entry using statistical analysis software, ideally Sphinx which is the preferred software used by SI, or other statistics packages.
Skills and competences:
Good inter-personal skills
Good report writing and communication skills
Calm and diplomatic.
Strong capacity to work with initiative, flexibility and without close supervision
Ability to work effectively in a multi-cultural team
Ability to meet strict deadlines
Very comfortable with standard office software and internet research.
Languages:
Fluent in English and Kiswahili
Somali required
