Office Administrator

Based in Tharaka Program Unit

Plan International (In Kenya) is seeking to recruit an Office Administrator based in  Tharaka Program Unit. The purpose of this position is to coordinate logistical and  administrative support at the Program Unit. The job holder will report to the Program  Unit Manager. S/he directly supervises the 1 PU Office Assistant and 2- 3 Drivers. The  post holder will also manage the PU petty cash. The position indirectly reports to the
Administration Manager on fixed assets management.

Key responsibilities
 Ensure efficient and effective management of petty cash
 Ensure timely coordination of logistical support for PU staff and visitors
 Maintain and coordinate PU documentation and communications
 Ensure cheques and cash received are well recorded and banked or dispatched promptly
 Provide supervision, coaching and motivation to PU Office Assistant and Drivers to enhance and manage their performance and development
 Ensure the office and compound are well maintained
 Run PU front office in an effective and efficient manner
 Keying in of Purchase Requisitions into the Plan System-SAP

 Computer Skills

Communications and Working Relationships
The post holder will be required to maintain working relationship with visitors to the Program Unit and have effective working relationship with the PUM, PU staff and other  Plan staff in Kenya.

Educational Qualifications, Skills and Experience
 Diploma in Administration, secretarial or other related field.
 2 years’ experience in administration preferably in an NGO
