About the organization:
We World (former Intervita) is an Italian-based independent, non-sectarian and nonpartisan organization. It operates in developing countries and its aim is to improve the living conditions of populations in the poorest areas. We World (former Intervita) cooperates in the realization of long-term development Projects in Africa, Asia and South America.
In all its projects and through the involvement of the entire community, We World (former Intervita) operates with the main objective of tackling the causes and consequences of poverty. For this purpose, Education and Health are the priority intervention areas in its fight against the consequences of poverty; whereas the causes of poverty are fought through Food Safety and Economic Development Projects; finally, special care is given in all Projects to Children’s rights, the Environment, Community participation and Equality in general.
We World (former Intervita) works in Kenya since 2010 in collaboration with local partners in Nyamira, Migori, Homabay and Narok areas. The projects are mainly focused on promoting child rights in education and health. A special attention is also paid to woman and girl rights. Actions on advocacy and education for development are also carried out.
Since 2010 an integrated project including primary and pre-primary schools has been implemented in Nyamira County. After the conclusion of the first phase project (2010-2012), a second phase started in 2013 which is due to finish in December, 2016. This new phase focuses on promoting the access to a better quality primary and pre-primary education through a set of various activities including trainings for teachers (in Montessori method, as an example), provision of furniture and learning materials, infrastructural and watsan support, linkages to the healthcare system, and development of school-based income generating activities (IGA).
Within this new phase, We World (former Intervita) is currently looking for a Finance & Administration Manager. His/her mission will be to ensure an efficient and effective financial management of the project under the supervision of the Project Manager.

Position: Finance & Administration Manager

Location: Kisii (Nyamira County) with monthly missions to Nairobi (We World former Intervita main office)
Responsibilities and Tasks
  • Prepare the quarterly financial reports in accordance with We World Intervita formats, and ensuring integrity of information and explanations, and timely submission
  • Execute project expenses and any processing transactions after verification of their compliance with the We World Intervita financial rules and the handbook (with particular care to the procurement procedures), and after the authorization of the Project Manager
  • Implement all financial and administrative office procedures regarding staff, logistics, We World Intervita property
  • Record all the project expenditure in the financial monitoring and cash and bank flows
  • Preparation of the monthly payroll, payslips and monthly payment of the statutory deductions
  • Calculation and payment of the withholding tax
  • Updating of the staff file
  • Manage the inventory and the warehouse
  • Ensure We World Intervita is adhered to in all procurement of goods and services
  • Manage financial and procurement systems and protocols that enable transparency, accountability and accuracy in line with We World Intervita rules
  • Ensure the smooth day-to-day running of the finance office and ensure the timely reporting to the We World Intervita Headquarter in Nairobi of all monthly financial information
  • Maintain proper books of account and supporting documents
  • Review and collect of all the supporting documents related to the expenditure
  • Perform monthly cash and bank reconciliations
  • Ensure that a transparent and proper system of authorizations is implemented and monitor constantly that this is updated and filed accordingly
  • Analyse finance information to generate information on overall finance management issues
  • Support the Project Manager in bank account activities including currency exchange rates
  • Support the Project Manager in the project expenses planning in accordance with the operational planning of activities
  • Provide frequent feedback on the total amount of expenditure out of the planned per each and every budget line to the Project Manager
  • Assist non administrative staff in their administrative and financial duties
  • Work with the Audit firms to ensure a clean and timely audit
  • Perform other related duties as required
Qualification and Experience
  • At least 5 years’ experience in the same position
  • Bachelor’s degree in accounting, business administration or similar with completed all sections of CPA
  • Master Degree will be highly valued
  • Previous experience with NGOs
  • Experience in the accounting of projects funded by main donors
  • Proficient spoken and written English (spoken Swahili and Ekegusii is an advantage)
  • Proficiency in MS Office applications especially Excel
  • Kenyan nationality
  • Preferable: driving license (car and motorcycle)
