The Awards and Subawards Management team within Office of Sponsored Programs (OSP) is responsible for ensuring that PATH complies with required federal regulations and award terms and conditions for each agreement or contract entered into by PATH. The Awards Management and Subawards Team is an important resource for project managers; offering support in accomplishing their technical objectives while ensuring adherence to donor standards. 

We seek to recruit a OSP Coordinator who will support the regional hub Awards and Subawards management team in ensuring compliance with the terms and conditions of respective agreements, applicable grant rules, regulations, policies and procedures as well as PATH policies. The OSP Coordinator will review Subaward payments and tracks Subaward deliverables to ensure that they are in accordance with agreement terms as well as PATH policies and procedures and  assist with data management for all awards and Subawards managed by the regional hub team.S/he will be based in OSP’s regional hub in Nairobi - Kenya office and will report to the OSP Manager - Nairobi Regional Hub and will work with the in country Awards and Subawards team, Headquarter staff members as well as country program staff throughout Africa. 

Specific duties and responsibilities:

  • Review and set up Subaward requests and awards for drafting and/or review by the regional hub team.
  • In liaison with the regional hub team, ensure data integrity of Awards and Subawards records on Salesforce. Identify and implement strategies for improved efficiency.
  • Update the Subaward records upon receipt of fully executed agreements and/or amendments. Follow up any outstanding agreements and/or amendments.
  • Review fully executed award agreements and amendments/modifications on Salesforce and update records on Salesforce and Dynamics SL.
  • Review Subagreement-related payment requests and monthly Field Office Financial Reports (FOFR). In liaison with the IAS team, ensure subaward payments are accurately posted on the accounting system and updated (reconciled) on Salesforce.
  • Liaise with PADMs, Grants Officers or respective project teams to ensure that subaward deliverables are submitted as per individual subaward agreements.
  • Upon confirmation on receipt of deliverables from PADMs and/or Grants Officers, update subaward records in Salesforce.
  • Perform general administrative duties including but not limited to formatting, editing and proofreading draft agreements/amendments, routing documents for signatures as needed, preparing cover letters, run copies and faxes, scan documents, and prepare courier packages.
  • Maintain e-filing systems for awards and subawards managed out of Regional office.
  • Other special projects, as requested by the OSP Regional Hub Manager. 
Required Skills

  • Ability in establishing and maintaining effective working relationships with program and other staff.
  • Superior communications skills - both written and spoken English and Kiswahili.
  • Proficiency with Microsoft Office suite and Salesforce.
  • Demonstrated experience successfully managing multiple tasks with competing priorities.
  • Organized, responsible, and concise in order to meet reporting requirements and deadlines


Required Experience


A degree in Business Administration, Finance, Accounting or related field, minimum of two years of progressive working experience in contracts and grants management in not-for-profit organization(s). Experience working with an international organization is preferred. Knowledge of USG contracts and grants management required. Experience working with Salesforce will be an added advantage.


You must currently have legal authorization to work in Kenya.
