Duration: 6 months contract.

Job purpose
The Project Assistant will support the Horn of Africa Technical Consortium Coordinator.
Key Responsibilities:
  • Provide administrative support as required, particularly in relation to sensitive or complex activities;
  • Maintain Technical Consortium calendar on the web;
  • Coordinate with other ILRI departments (Travel office, transport, catering, housing etc.) arrangements for meetings, conferences and other functions on behalf of the Technical Consortium;
  • Format and proof-read reports, working documents, research papers and manuals;
  • Handle telephone calls and receive and assist visitors to the Technical Consortium
  • Supervise office assistant (copying, mailing, etc.);
  • Coordinate supervision and distribution of complex and sensitive documents on behalf of the programme;
  • Arrange travel schedules, including making travel arrangements and preparing requisite documentation i.e. TAs and keeping track of all TA numbers;
  • Create and maintain simple databases;
  • Prepare and monitor all contracts, payments and other consultant details;
  • Liaise with Finance and HR departments;
  • Draft routine correspondence and memoranda;
  • Organize and maintain filing and other office systems;
  • Follow up on complaints from staff on administrative related issues;
  • Book vehicles for Technical Consortium activities;
  • Preparation of purchase orders, requisitions to stores and assist in purchasing materials for field work by Technical Consortium teams;
  • Provide support to relate to communications and maintenance of Technical Consortium websites.
Skills and Competencies:
  • First Degree/Diploma with book keeping experience/CPA 2
  • Five years’ experience working in administrative support with progressive responsibility
  • Considerable experience with all MS Office packages
  • Experience in budgeting and monitoring expenditures
  • General office administration skills
  • Good communications Skills
  • Experience in a multicultural environment
  • A team player

 Job level and salary
This position is job Grade 2C – 6 months contract.
Location: The position will be based at the ILRI campus in Nairobi, Kenya.
